Many companies rely on HubSpot for marketing. You probably use it to send customized email campaigns and email automations, to create landing pages and forms and in other ways to attract leads and contacts. NetSuite, on the other hand, serves as your financial system for inventory management, accounting, invoicing, sales order management and billing. You might also use it as an ERP to manage and track your supply chain and its various components such as parts, assembled items, inventory items, bundles or kits and related service items. While NetSuite can handle basic sales CRM, it’s not great for this because the platform is designed mainly for finance, accounting and inventory management. That can be especially problematic if you’re working multiple pipelines simultaneously.

From marketing to sales to billing and revenue recognition, you need an efficient, accurate system. Thoughtfully integrating HubSpot + NetSuite creates a single, high-functioning work environment for all users. ClearPivot experts have years of practical experience with both of these platforms. This knowledge enables us to understand how customized integration needs to work for each client. Even before the project is complete, you can start to see the benefits of proper integration.

Sound familiar?

Let’s say you’re using HubSpot for sales and marketing. Marketing leads and qualified leads come into HubSpot via multiple entry points. You score the lead, route the lead, and then a salesperson creates a deal record.

After that, sales then builds out the quote for the deal in HubSpot. This requires bringing all relevant products, assembly items, etc. that are inventoried in NetSuite into the HubSpot product library in order to build the quote. If sales closes the deal, then you will programmatically create a new sales order in NetSuite populated from the line-items of the quote in HubSpot. Finance uses that information to approve the order, assign work orders and inventory, and trigger product build-out for the customer. Finance, field service, and customer success teams also rely on these details.

Clearly, there is no room for error here. A well-designed, thorough HubSpot + NetSuite integration is critical. Without it, you waste time and risk mistakes or omissions that can lead to inaccurate quotes and product delivery problems and make it impossible for accounting, finance, and inventory management teams to work accurately.

Manual double entry

Reps or ops staff copying deal/customer data between systems by hand

Broken quote-to-cash

Deals close in HubSpot but orders, invoices, and revenue recognition in NetSuite are mismatched

Inconsistent customer records

Company/contact data is different between systems and nobody knows which one is accurate

Sales and finance see different numbers

Pipeline in HubSpot never quite matches bookings/revenue in NetSuite

Slow month-end close

Reconciling your systems manually eats time and delays accurate reporting

Fragile, one-off syncs

An old Zapier flow or custom script nobody wants to touch, prone to breaking

You need better clarity and coordination across the board. But how do you get there? You partner with ClearPivot.

What We Implement

A unified system that paves the way for accurate quotes, sales orders, product delivery, collections, and order fulfillment.

Because we understand the nuances of both HubSpot and NetSuite, we know what it takes to design and implement an integration that reflects your unique business and operational processes. This kind of integration is highly complex and not the sort of thing most companies can undertake internally. It’s all too easy to skip steps or misunderstand the architecture of both platforms and how they talk to each other. Finance, sales, and marketing may not fully appreciate what other teams need to fulfill their part of the quote-to-revenue process.

Professional expertise from ClearPivot relieves that stress and ensures your integration performs exactly as you need it to.

Our HubSpot + NetSuite implementation includes these services:

Object record sync

  • Contacts, companies, opportunities, sales orders, invoices, inventory items
  • NetSuite Customer records ↔ HubSpot Companies (and often Contacts), keeping billing address, account status, and customer tier in sync
  • Deduplication logic to prevent duplicate customer records when a HubSpot company converts vs. already existing in NetSuite
  • Field-level mapping between NetSuite custom fields and HubSpot custom properties (often the messiest part — field types and picklists rarely match 1:1)

Deal-to-sales-order handoff/quote-to-cash

  • Closed-won HubSpot Deals triggering creation of a NetSuite Sales Order
  • Line items, pricing, and quantities mapping from HubSpot deal line-items to NetSuite sales order line items
  • Mapping and syncing NetSuite item/SKU catalog into the HubSpot product library

Functional Data flowing back to HubSpot

  • Invoice status, payment status, and AR balance synced to HubSpot and associated to company records, so sales reps can see who's paid/overdue without leaving HubSpot
  • Historical purchase/order data surfaced on the company record for upsell/renewal context

product/inventory sync

  • NetSuite item records (pricing, SKU, inventory availability) synced to HubSpot's product library

Reporting/Reconciliation

  • Building a "source of truth" hierarchy (usually NetSuite for financials, HubSpot for pipeline/marketing) to avoid conflicting data

And the Result?

Finally, your teams are well-equipped to work more productively, confident that the data they’re using is complete and accurate all the way from quote to cash:

  • Bi-directional data sync with clear field-level ownership rules between HubSpot and NetSuite
  • Automated quote-to-cash — closed deals flow into NetSuite as sales orders with accurate pricing/products/terms
  • Revenue/forecast alignment — bookings and recognized revenue reconciled so both teams work from the same numbers
  • Custom object and workflow mapping for anything a standard connector doesn’t handle
  • Built to last — documented, maintainable integration, not a fragile one-off
  • Senior, RevOps-specialist team — our ClearPivot team brings years of go-to-market technical expertise, stakeholder management guidance, and change management experience.
  • Process-first approach — lifecycle mapping and data-model design and documentation before any tooling gets touched

Why RevOps Leaders Choose ClearPivot

Generating revenue is the definition of group effort. Marketing, sales, finance, supply chain, and customer success are all critical. But while each role is different, teams must function as a cohesive whole to achieve success. As valuable as HubSpot and NetSuite can be, poorly designed integrations can render them ineffective or even destructive. You need a partner who can get the job done right.
  • HubSpot and NetSuite specialists. We’ve spent years building go-to-market systems on HubSpot: lead generation and routing, pipeline governance, forecasting, attribution, data architecture. We also have years of hands-on experience customizing NetSuite to meet the needs of diverse companies. We understand how these platforms work and how to connect them for peak performance.
  • We start with your process, not the software. Our first step is always mapping your ideal-state customer acquisition lifecycle. The configuration follows the vision – never the other way around.
  • We build systems your team will actually use. Change management can sometimes feel like your biggest challenge. It’s tough to give up “the way we’ve always done it,” even if it’s not working all that well. We design systems your people will want to use once they see that it makes their job easier.
  • You’ll look great to your CEO and board. Not only will your teams function more productively, you’ll also have the numbers in hand to accurately show pipeline and revenue data, with clear attribution to marketing’s efforts and other KPIs.
