HubSpot + ConnectWise Integration with ClearPivot
CREATE A SINGLE, ACCURATE SALES-TO-SERVICE PIPELINE
ConnectWise is a diverse platform with components that enable MSPs and IT service providers to streamline a variety of tasks and processes to improve operations and overall business management. Some of these processes involve customer interactions such as client onboarding, ticketing, service desk and billing. ConnectWise also houses data needed for quoting and CPQ, so accurate communication with HubSpot for marketing and sales is essential.
However, integrating these two platforms is complicated. If you are using more than one ConnectWise component, integration can become exponentially more involved. It is definitely not something you want to tackle on your own. We meet clients who thought integration would be relatively straightforward. Others ended up over-engineering their integration attempts. Either way, they haven’t been able to make it work, and they can’t figure out why.
ClearPivot experts bring years of platform usage and integration experience to your project. We understand what it takes to effect a fully functional integration customized for your teams and desired results.

Sound familiar?
A marketing manager called ClearPivot, at her wits’ end. “They hired me to plan their messaging, promote their products, generate demand,” she told us. “Now I’m sitting here fiddling around with databases and sync rules and business systems logic. I didn’t get into marketing because I wanted to deal with this stuff all day.”
It’s easy to understand her frustration. ConnectWise is primarily built around delivering and billing IT services, while HubSpot is primarily built around the marketing → sales →customer engagement lifecycle. You need both of these areas covered at your company, which oftentimes means running both of these systems together in harmony.
So marketing and sales are using HubSpot for bottom of funnel lead generation, qualification and quotes, but at some point sales has to switch over to ConnectWise to start the contract. Nothing syncs back to HubSpot to close the loop on reporting, so marketing has no visibility or attribution.
Syncing can also fail or fall out of order if sales reps skip steps or stages along the way.
If there is extraneous information associated with client data, the system may inadvertently feed that to HubSpot, resulting in improper or misdirected communications with prospects or customers. Improper mapping can also lead to disparities such as HubSpot and ConnectWise defining “closed sale” differently.
So you might be experiencing any or all of these frustrating challenges if you’re running HubSpot and ConnectWise side by side:
Manual re-entry
Sales closes a deal in HubSpot, but setting it up as a client/service in ConnectWise means manual re-entry of company, contact, and contract details - or inconsistent information logged between both systems
Missed Opportunities
Renewal and upsell opportunities get missed because sales has no visibility into which clients are having a rough time (high ticket volume, SLA breaches) or which are prime for expansion
No Visibility
Billing and contract data lives in ConnectWise, but sales and marketing have no visibility into what's actually being billed vs. what was sold
Incorrect Records
Duplicate or inconsistent client records between the CRM and the PSA | Marketing can't tie campaigns to actual client outcomes or retention, since service and support data never makes it back into HubSpot
Slow Processes
Manual handoff from "deal closed" to "service provisioned" — slow, error-prone, and dependent on someone remembering to do it
Fragile Integrations
Fragile or nonexistent integration — most MSPs are stitching this together with manual exports or nothing at all
You need better clarity and coordination across the board. But how do you get there? You partner with ClearPivot. Clients come to us because they know not all HubSpot and ConnectWise consulting companies can deliver the results they require.
What We Implement
Professional expertise from the right partner relieves your headaches and frustration with solutions designed to perform exactly as you need. But getting the functionality you desire requires more than technical systems integration.
You need a comprehensive system that reflects your operational processes and desired outcomes. That’s why we incorporate all aspects of your company, including processes, discovery, mapping, and change management. We implement integration to eliminate unnecessary complexity and ensure everything is set up to function seamlessly.
Our HubSpot + ConnectWise implementation includes these services:
Object record sync
- Contacts, companies, opportunities, catalog items
- ConnectWise Customer records ↔ HubSpot Companies (and often Contacts), keeping billing address, account status, and customer tier in sync
- Deduplication logic to prevent duplicate customer records when a HubSpot company converts vs. already existing in ConnectWise
- Field-level mapping between ConnectWise custom fields and HubSpot custom properties (often the messiest part — data types and picklists rarely match 1:1)
- ConnectWise item records (pricing, SKU, inventory availability) synced to HubSpot's product library

Reporting/reconciliation
- Building a "source of truth" hierarchy (usually ConnectWise for client service, HubSpot for pipeline/marketing) to avoid conflicting data
How ClearPivot Solves It
- Bi-directional sync between HubSpot and ConnectWise with clear ownership of client, contact, and opportunity data
- Automated handoff — closed-won deals in HubSpot trigger client/service setup in ConnectWise, no manual re-entry
- Renewal and expansion signals — SLA performance and contract status feed back into HubSpot to flag at-risk or upsell-ready accounts
- Custom property and workflow mapping for whatever ConnectWise data doesn't fit a standard sync
- Built to last — documented, maintainable integrations suited to how MSPs actually operate, not a fragile one-off

Troubleshooting and Dianosis
Why isn’t your HubSpot + ConnectWise integration working as you intended? Some fixes can be surprisingly quick, but obvious problems are rarely the only problem. Our experts are technical detectives. One issue at a time, we troubleshoot backward, digging as deep as necessary to uncover the root problem. With that information, we can design and implement an effective solution.
To ensure nothing is overlooked, we also use a detailed integration checklist to assess all relevant technical and human processes, then recommend corrections or improvements to create a thorough integration implementation plan.
Change management
We approach change management in two distinct ways. On the technical side, we explain why it’s so important for objects to sync in a specific order. Data must flow smoothly and consistently for processes to function as needed. Since technical changes often alter “the way we’ve always done it,” we also establish guardrails to prevent user missteps going forward. We work with your people so they understand why things were not working before and how the new workflow changes will simplify their work. That builds confidence and buy-in.

We Don't Hand Off Until It All Works
We Don’t Hand Off Until It All Works
Once implementation is complete, we double-check every detail to ensure the entire system works exactly as expected in both directions. But that’s not the end. We document your governance model and train your leaders and teams on the new system, so you’re ready to hit the ground running right away. We’re proactive so you can be as effective as possible.
Why MSP Leaders Choose ClearPivot
MSPs look to ConnectWise to boost operations management, but continuity and financial success require an effective interface with marketing and sales. That means fully integrating HubSpot and ConnectWise in a way that reflects your workflows, reporting needs, and goals. You need a partner who can get the job done right.
- HubSpot and ConnectWise specialists. We’ve spent years building go-to-market systems on HubSpot: lead generation and routing, pipeline governance, attribution, data architecture. We’re experienced with ConnectWise, too. We understand how these platforms work and how to make them work together for you.
- We start with your process, not the software. Our first step is always mapping your ideal-state customer acquisition and lifecycle. The configuration follows the vision – never the other way around.
- We build systems your team will actually use. No more “things aren’t syncing.” No more switching back and forth between platforms to complete a sale or bill a client. Everything is aligned, and all the data is at everyone’s fingertips.
- You’ll look great to your CEO and board. Everyone feels better when they can work more productively. But you’ll be able to show real results leadership can appreciate, with data matched to your metrics and attribution where it belongs.
