Orchestrate Clay + HubSpot with ClearPivot
TAKE ORCHESTRATION AND ENRICHMENT TO THE NEXT LEVEL TO UPLEVEL GTM OPERATIONS

Clay has evolved into a go-to-market orchestration platform where you can do not only data enrichment but CRM operations, creating outbound emails, creating copy, generating images within the platform and TAM sourcing. You can find targeted accounts, prospecting accounts and people of value at those particular companies. And Clay continues to add new features.
But more user options don’t represent greater opportunity unless you understand how to put them to work. Here at ClearPivot, we have found that teams who rely on HubSpot for CRM and have added Clay to strengthen GTM processes often struggle to coordinate the platforms effectively. Unfortunately, the results speak for themselves. Yet, given Clay’s credit system, efficient productivity is bottom-line-critical.
Partnering with ClearPivot to fully integrate HubSpot + Clay is the ideal solution to ensure smooth, cost-efficient two-way data flow. Then you can get down to business. What could you do with proper integration? You can’t do everything first, so we recommend surefire motions such as:

Data Enrichment
Clay pulls together data from different providers, then you can push that into HubSpot. You can use it as a sequencer, using certain data sources or signals to trigger contact information updates. You can add AI columns, say to generate email copy, then push it into your sequencer within Clay or push that information into HubSpot as a next action item, which will be delivered automatically. Your sales rep has all this information at hand without having to troll through multiple sources.
Retrieve Information from HubSpot
You can pull a person, company or deal into Clay to add more context to action items such as an email sequence you want to push out.
AI Context
Let’s say you’re looking for new accounts or contacts that match your ICP. Within Clay’s settings, AI Context allows you to simply enter a domain name to generate an accurate company description. The AI uses your ICP to identify the people, titles, seniority levels, etc. you should reach out to. You can create an ICP target list – an account table within Clay – and use it to prioritize potential prospects. Then you can generate a cold email sequence and deliver it via the sequencer. The tool can draw from additional sources to enrich the email body.

Signal tracking
You can put out a signal associated with any person or company in your Clay accounts. The signal picks up on job changes, company acquisitions, LinkedIn posts, hiring notices, industry articles about new innovations – any mentions that match your contact. That new data is automatically added to your Clay table to trigger workflows within Clay, and it can be pushed back into HubSpot to trigger workflows from there.
However, with seemingly endless use cases, it’s important to define what you want to do first, then mold Clay to enable that. Our ClearPivot experts are ready to help create a system that resolves your current frustrations. And we’ve heard them all!
Sound Familiar?
It was built by one person and it's now a black box
A growth marketer or an ops-minded SDR built the tables, but they're the only one who understands the logic and there’s no documentation. What if they leave? Meanwhile, tables are running without maintenance, nobody can trace what fields actually mean or even answer basic questions about how leads were scored.
Credit spend is out of control and untied to pipeline
Records are enriched or re-enriched without reason and waterfall sequences aren’t monitored for cost-efficiency. The bill keeps growing and nobody can defend the line item because there’s no visibility into costs versus actual pipeline productivity.
Data quality got worse, not better
Clay overwrites hand-written fields. Null values overwrite good values on a refresh. Lack of proper logic allows account duplication. Wildly inconsistent formatting breaks every segmentation and report built on the data. The team is so confused, everyone goes back to their own spreadsheets.
The sync itself is fragile and misunderstood
People don’t understand how the syncing works, so they’re surprised when changes in HubSpot don't reflect back. Webhooks fail silently, there’s no error handling and nobody owns monitoring, so there's no alert when things stop working. Leads disappear or are neglected. Records drop when rate limits and API quotas are hit during high volume periods.
It only covers one motion
Your system was built for inbound enrichment and never extended to outbound list building, job change tracking or account research. Signal plays like hiring and funding go unused, as is Claygent because writing good prompts and mapping the output to HubSpot properties is real work. You're getting maybe 20% of what you're paying for.
Nobody can tie it to revenue
Data doesn’t show before and after on connect rates, conversion, or velocity, and there’s no attribution connecting enriched signals to closed won deals. Renewal is always a fight because you can't tell leadership whether enrichment is actually working.
No wonder everyone is so frustrated. You need professional help.
What We Implement
A cohesive system that transforms GTM orchestration into practical application across your operations according to your priorities.
Integration should fuel the capabilities of both platforms so the humans on your teams get the information and automations they need to be successful. For HubSpot + Clay integration, ClearPivot offers the following technical services:

Table architecture
We separate inbound, outbound and account research into purpose-built tables and replace nested lookup chains with readable, single-purpose columns. We use conditional logic so expensive columns run only on qualified records, and we reference account-level research across tables instead of recomputing it per contact.
Claygent and AI research
We create custom Claygents based on your specific business domain and context. That includes writing prompts and iterating for account research, positioning summaries and use case fit. We also source constraints and grounding so research cites where it came from.

Data quality work
We build overwrite protection rules, including no-null-overwrite, as well as deduplication rules and merge logic on companies and contacts. We create a data dictionary covering every property the integration touches and field ownership documentation that covers what Clay writes, what reps own and what is calculated.
We direct that technical expertise toward specific integration goals:
Eliminate "black box" status
-
Audit the existing tables and document what every column does, what it depends on, and what breaks if it changes
-
Train the internal team so the system survives whoever built it leaving
-
Establish a change process so nobody edits a live table without knowing what's downstream
Govern the data
-
Define field ownership: which properties Clay can write, which are rep-owned and never overwritten, which are calculated
-
Normalize job titles, industries, and company names into a controlled vocabulary so segmentation and reporting hold
-
Build dedupe and matching logic that runs before net-new records reach HubSpot and set re-enrichment cadence by segment so records refresh when they're stale, not on a blanket schedule
Get credit spend under control
- Suppress records that don't qualify before they consume credits
- Reorder waterfall providers by cost and hit rate for your specific segments and tier enrichment by ICP fit so the expensive waterfall only runs on accounts worth it
- Report credit spend against pipeline created, so the line item is defensible
Finally HubSpot and Clay are functioning well together, focused on processes aligned with your priorities. But that’s just the beginning. Once proper integration has resolved your most pressing problems, we can help you do so much more with Clay + HubSpot:
-
Build outbound list building and TAM expansion that pushes clean net-new accounts into HubSpot with proper ownership and lifecycle stage
-
Set up job change tracking on past champions and closed-lost contacts, routed into a list and sequence
-
Deploy signal plays on hiring, funding and tech stack changes that trigger real workflows
-
Write and tune Claygent research prompts, mapped to HubSpot properties so reps open a record and see a brief
-
Backfill firmographics across the existing database so scoring and segmentation work on records you already have
We can help you keep things running smoothly, too:
-
Monthly tuning as ICP shifts and providers change coverage
-
Ongoing admin so the system stays current without pulling a marketer off their real job
Nothing is overlooked
Because Clay is a highly adaptable and constantly expanding platform, it is essential to ensure implementation reflects your company’s GTM approach and desired results. We use a detailed integration checklist to assess your current situation first, then recommend corrections or improvements that will help you use both Clay and HubSpot more effectively. Then we follow through with the implementation plan.
WE PROVE IT WORKS BEFORE WE HAND IT OFF
Your integration has to function exactly as expected in order to provide the benefits you seek. So we measure before and after on connect rates, form conversion, response rates and cycle time. We build reporting that ties enriched signals to pipeline and closed/won. We give leadership a dashboard they can take to the CEO showing what enrichment is returning. We double-check every detail to confirm everything is working properly and train your team members so they can jump right into the new system with confidence. And we provide documentation to help you ensure implementation remains consistent into the future. If you have questions or want to expand how you’re using Clay + HubSpot, we are always here for you.
